We are looking for a Lead Office Secretary to manage and develop a team of administrative staff and
receptionists across multiple offices. The team works in a fast-paced, cross-functional environment,
and we value energy, professionalism, and a strong team spirit.
Responsibilities- Lead, supervise, and develop a team of up to 8 Office Secretaries and Receptionists.
- Mentor and support onboarding, training, task distribution, and performance evaluation.
- Standardize, improve, and maintain administrative and office processes.
- Oversee daily administrative operations: document flow, correspondence, calendars, and office coordination.
- Manage internal and external communications, including emails, phone calls, visitors, and official correspondence.
- Coordinate meetings and executive calendars efficiently.
- Ensure effective document management and confidentiality.
- Oversee office management activities: procurement, vendor coordination, and external services.
- Act as the key point of contact between management and the administrative team, resolving operational issues and suggesting improvements.
- Support senior management with complex administrative tasks and special projects.
Requirements- Proven experience as a Senior/Lead Secretary, Office Manager, or Administrative Team Lead.
- Experience supervising or coaching a team.
- Excellent organizational, time-management, and prioritization skills.
- Strong written and verbal communication in English (other languages are a plus).
- Proficiency in MS Office (Word, Excel, Outlook) and office management tools.
- High attention to detail and process-oriented mindset.
- Ability to multitask and perform in a fast-paced, multi-office environment.
- Professional, proactive, and service-oriented attitude.
- Preferred: Degree in Business Administration or a related field.
