Government Relations & Administration Support

Description
We are seeking a proactive and detail-oriented Government Relations & Administration Support Specialist to ensure smooth and compliant operations of the company in Saudi Arabia. This role is responsible for managing all government-related transactions, employee documentation, regulatory compliance, and administrative processes. The successful candidate will maintain strong relationships with government authorities and ensure timely renewal of licenses, permits, and legal documentation.
Key Responsibilities
Government Relations & Licensing
• Prepare, collect, and submit documentation to government authorities and financial institutions

• Manage and renew company licenses with relevant authorities, including: Ministry of Investment, Ministry of Commerce, Ministry of Human Resources and Social Development, Ministry of Interior, Ministry of Industry, MODON, Civil Defense

• Track and follow up on all government transactions and approvals

• Collect and manage official correspondence from government entities

• Issue certificates and documents via government portals (e.g., SABER)

• Monitor expiration dates of licenses and ensure timely renewals

• Process industrial exemptions and authorizations via FASAH

• Handle tax-related submissions, including VAT returns and refunds with ZATCA


Employee Government Services
• Issue and renew work permits, residency permits (Iqama), and visas

• Coordinate employee attendance and leave records with management for payroll processing

• Manage medical insurance enrollment and annual renewals for employees and dependents

• Support employees with government-related requests and documentation

• Ensure compliance with Saudi labor laws and regulations

• Facilitate exit/re-entry procedures for expatriate employees

• Maintain and renew company accounts across key government portals: QIWA, Muqeem, Mudad, GOSI, Etimad

Government Visits & Inspections
• Accompany government officials during inspections and site visits

• Support audits and inspections from relevant authorities (Labor Office, Ministry of Energy, Min-istry of Environment, etc.)

• Ensure proper documentation and compliance readiness during inspections

Administrative & Employee Support
• Provide administrative support to management and internal teams

• Assist expatriate employees with government procedures (including Arabic language support)

• Support training sessions with Arabic translation when required

• Maintain accurate records, files, and documentation

• Process attestations via the Chamber of Commerce

• Promote positive employee relations and resolve administrative issues

Compliance & Operational Support
• Ensure compliance with Saudization requirements

• Monitor company classification under the Saudi traffic light system (Nitaqat)

• Support maintaining a favorable classification status

• Follow up on updates to licenses, certificates, and regulatory requirements

• Coordinate with internal departments (Finance, HR, Management) to ensure smooth workflows

• Ensure full compliance with Saudi labor laws and government regulations

Requirements

• Saudi National (mandatory requirement)

• Bachelor’s degree in Business Administration, Public Relations, HR, or a related field

• Minimum 3–5 years of experience in Government Relations / PRO role in Saudi Arabia

• Strong knowledge of Saudi government procedures, portals, and regulations

• Hands-on experience with government platforms such as QIWA, Muqeem, GOSI, Mudad, Eti-mad, SABER, and FASAH

• Familiarity with Saudization policies and Nitaqat system

• Understanding of labor law, immigration procedures, and compliance requirements

• Proficiency in Microsoft Office tools

• Fluent in Arabic and English (written and spoken)
